Objectives

The Marketing and Admissions Assistant will provide day-to-day administrative and operational support to the Marketing team, helping to ensure the smooth delivery of marketing activities, admissions events and stakeholder engagements.

As part of a small and dynamic pre-opening Marketing team, the role will support event coordination, supplier management, merchandise administration, inventory tracking, and general marketing operations. The successful candidate will be highly organised, proactive and willing to assist across a variety of projects and activities.

 

Key Responsibilities

The Marketing and Admissions Assistant will provide day-to-day administrative and operational support to the Marketing team, helping to ensure the smooth delivery of marketing activities, admissions events and stakeholder engagements.

As part of a small and dynamic pre-opening Marketing team, the role will support event coordination, supplier management, merchandise administration, inventory tracking, and general marketing operations. The successful candidate will be highly organised, proactive and willing to assist across a variety of projects and activities.

Event Coordination Support

  • Support the planning and delivery of all Marketing and Admissions events, including Open Days, information sessions, school fairs, exhibitions, community events, stakeholder meetings, school tours, launch events, and parent engagement activities.
  • Coordinate event logistics, including registrations, venue setup, signage, catering, transportation, and event materials.
  • Assist with event setup, guest registration and on-site event delivery.
  • Maintain event records, attendance lists, and post-event documentation.

Supplier, Merchandise & Inventory Coordination

  • Research suppliers and obtain quotations for events, branded merchandise, printing, and other marketing requirements with the support of Head of Procurement.
  • Coordinate the production and delivery of marketing materials and branded merchandise.
  • Track inventory of brochures, banners, giveaways, and branded merchandise, ensuring sufficient stock is available.
  • Support contract administration, purchase requests, invoice processing, and payment follow-up.

Marketing Operations Support

  • Provide administrative support to the Marketing team across day-to-day activities and projects.
  • Maintain organised records of contracts, suppliers, invoices, marketing assets, and project documentation.
  • Assist with scheduling meetings, preparing materials, and coordinating logistics.
  • Support budget tracking and reporting as required.
  • Provide ad hoc administrative support to the Admissions team during peak periods, events, and enrolment cycles as required.
  • Undertake additional duties to support the smooth operation of the Marketing and Admissions departments.

Requirements

Qualifications and Experience

Essential

  • A good degree in any relevant field.
  • Minimum of three years relevant experience in marketing, admissions, communications, customer service or a similar role.
  • Highly organised and detail‑focused with strong follow-through
  • Confident working with external suppliers and internal stakeholders.
  • Good communication and multitasking skills. 
  • Good administrative and record-keeping skills.
  • Ability to work independently while contributing effectively within a small team.
  • A positive, flexible and can-do attitude to support Marketing priorities.

Desirable

  • Experience working in an international school environment.
  • Experience in school admissions or student recruitment.

Knowledge and Skills

  • Proficiency in Microsoft 365 applications.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Strong interpersonal and relationship-building skills.
  • High level of integrity, professionalism and discretion.
  • Strong problem-solving and time-management skills.
  • Ability to work collaboratively with colleagues across different departments.
  • Ability to manage multiple priorities and meet deadlines.
  • A self-starter who can work effectively in a fast-paced, start-up environment.
  • Knowledge of digital marketing tools and social media platforms.
